How much does appointment setting cost? Our pricing, and the market's
ProPlus charges a $1,200 one-time setup, $10 a day for the days outreach runs, and a fee for each qualified show, agreed on your discovery call and locked in writing. There is no retainer and no minimum term, and no-shows are never billed. For comparison, appointment-setting retainers commonly run from about $2,000 to $10,000 a month.
This page explains every number, how billing works week to week, and how it compares with the other ways agencies buy sales appointments.
Our three numbers
- Setup ($1,200, one time): we build the prospect lists for the businesses you sell to, write the outreach texts and the setter's script around your offer, and set up booking and reminders. You approve the messages before anything goes out.
- Outreach ($10 a day): covers the daily texting. You are charged only for days outreach actually runs; paused days cost nothing.
- Per qualified show: the only variable cost. You pay it when a qualified prospect actually joins your call, never for a booking that does not turn up.
A worked example
Say outreach runs every day for a 30-day month.
| Month 1 | Month 2 onward | |
|---|---|---|
| Setup | $1,200 | $0 |
| Outreach (30 days x $10) | $300 | $300 |
| Fixed cost for the month | $1,500 | $300 |
| Per qualified show | Your agreed rate x shows | Your agreed rate x shows |
The fixed part is small and known in advance: $1,200 once, then about $300 for a full month of outreach. Everything else depends on how many qualified prospects actually join your calls. If nobody shows, your total cost for the first month is $1,500 and nothing more.
To judge it, compare your all-in cost per show (fixed cost divided by shows, plus your per-show rate) with what one new client is worth to you. If one new client is worth a few thousand dollars a month to you, it is easy to see how many shows it takes to pay that back. Use your own numbers on the discovery call and we will run them with you.
How billing works
- You put a card on file when you sign. The setup fee is charged then.
- Every week we email an itemised statement: the days outreach ran, and each show by name, date and time.
- We then charge the card for the previous week. Shows are only charged after their 72-hour flagging window closes.
- If a weekly charge fails, outreach pauses until it is paid.
What counts as a qualified show
A qualified show is a prospect who meets all three of these:
- they told us they are interested in your service;
- they spoke with our setter, by phone or in a two-way text conversation, before the meeting; and
- they join the scheduled call with you.
You are never billed for:
- No-shows. Ever.
- A no-show who gets rebooked is billed once, and only when they actually show.
- The same person twice, however many calls they have with you.
- Calls you miss or cancel.
- A show you flag within 72 hours (for example, they say they never asked for the call). We check the setter conversation and take it off the bill if it does not qualify.
The full definition and the reasoning behind it are on what is pay-per-appointment setting.
How this compares with other ways to buy appointments
| Option | What it costs | Who carries the risk |
|---|---|---|
| ProPlus pay-per-show | $1,200 setup, $10/day outreach, a fee per qualified show | Mostly us: no-shows and unqualified calls are not billed |
| Appointment-setting retainer | From about $2,000/month; comprehensive programs $5,000 to $10,000/month (Belkins' own figures) | You: the fee is due whether or not meetings happen |
| Dedicated outsourced SDR | $11,950 per 4 weeks for one dedicated SDR (SalesRoads' published price) | You |
| Pay per appointment (booked) | $50 to $500 per appointment is the range Belkins reports | Shared: check whether booked no-shows are billed |
| Hiring your own setter | Salary or hourly pay plus commission, tools, data and your time to train and manage | You |

Pricing questions
How much is the per-show fee?
We agree the per-show rate with you on the discovery call and put it in your agreement. It is locked for as long as the agreement runs and will not go up.
When am I charged?
The $1,200 setup is charged at signing. After that, once a week, we charge for the previous week: $10 for each day outreach ran, plus each qualified show whose 72-hour flagging window has closed. An itemised statement is emailed before every charge.
Can the $10 a day change?
Only with 30 days' written notice, and you can choose to stop instead. Your per-show rate cannot go up while the agreement runs.
Is the setup fee refundable?
The setup fee covers building your prospect lists, scripts and booking setup. It is not refunded once outreach has started.
How do appointment setters usually get paid?
An in-house setter is usually paid an hourly rate or base salary plus commission per booked or held appointment. With ProPlus you do not hire, train or pay a setter. That is part of the service.
Do I pay if I cancel or miss the call?
No. If you miss or cancel a booked call, nothing is billed for it.
Is there a contract or minimum term?
No retainer and no minimum term. It runs month to month and either side can pause or stop by text or email; outreach stops by the end of the next business day. The setup fee is not refunded once outreach has started.
